Bookkeeper and Office Administrator

Summary: The position of accountant and office administrator is an important role in ensuring smooth day-to-day operations. The ideal candidate will have strong accounting and booking skills and the willingness and ability to perform office administration functions that support the IT, IP, and HR departments.

This position reports to the Manager, Finance & Operations and is 100% onsite from our Sandy, UT office.

Bookkeeper Responsibilities:

  • Accounts payable and receivables, including contacting customers and vendors as needed

  • Bank reconciliation

  • Inventory tracking

  • Help prepare and compile data for financial statements

  • Conduct month end closing – ensure all invoices are entered, paperwork updated with ordered received and shipped, update journal entries, and reconcile Bill.com

Administrative Responsibilities:

Daily

  • Check and distribute mail daily

  • Answer calls and forward voicemails

  • Respond to new sales inquiries by conducting initial vetting and scheduling introduction calls with Sales

Weekly

  • Manage Cirque’s legal contract intake system and expiring contracts

  • Update and maintain Cirque’s patent and trademark databases

  • File patent documents through US Patent Office’s system

  • Manage Patent annuities and patent maintenance

Monthly

  • Mail out monthly Loved One’s birthday cards

  • Pick up and assist with monthly company lunch

  • Assist IT with SharePoint files cleanup

  • Purchase and restock snacks

Annual or As Needed

  • Order patent plaques for annual awards ceremony

  • Order office and kitchen supplies

  • Take pictures at company events and create year-end slideshow

  • Work with IT to create “how-to” and technical documentation for IT issues

  • Create new hire access cards

  • Assist IT with SOC2 implementation and annual audit documentation

  • Assist with production work including shipping and receiving as needed

Requirements:

Minimum of 2 years bookkeeping experience

Experience with ERP systems required, QuickBooks preferred

Experience in manufacturing or dealing with physical inventory

Cost accounting experience preferred

Experience creating documents and presentations using Word and PowerPoint

Ability to work independently with little supervision, must be self-directed

Ability to work with multiple stakeholders and provide status updates

Strong attention to detail

100% onsite Monday - Friday.

Flexible start time: 7am - 8:30 a.m.

Hourly Pay: $24 - $28/ hour
